The Protection of Personal Information Act, 2013 ( Act No 4 of 2013) (POPIA) is aimed at protecting our members personal information and prescribes what we must and must not do with it. An Information Regulator has been created to check that Associations like the Clinical Engineering Association of South Africa (CEASA) manage personal information in a responsible manner and respects our member’s privacy.
Introduction
This Privacy Policy forms part of our agreement with our members, and we want to inform you of what information we collect and what we do with it. Our members information is collected when they sign up for membership.
Updating of our Privacy Policy
From time to time we may have to amend this policy to accommodate changes in our activities, or if legal requirements change. We will do communicate any changes to this policy to our members.
Your consent
By agreeing to this Privacy Policy, you provide us with your express consent and agreement for CEASEA to collect, receive, record, organise, store, update, change, retrieve, read, process, consult, use and share your personal information in the manner set out in this privacy notice. Agreeing to this Policy indicates that you know and accept that you are giving up certain parts of your right to privacy.

Third party operators we use for our operations
We use global service providers who we trust to help us provide services that will benefit our members. Your personal information may be used in the use of our operations with the following Third-party operators. They each have their own unique Privacy Policy which can be viewed at the links provided below:

- Whatsapp Broadcasting Groups
- Linked In
- Google Drive
- Microsoft One Drive
- Jotform (for surveys)
What information we collect
Upon applying for CEASA membership, we require your full name, e-mail address, contact numbers (cellular number and business landline number) ID number, gender, date of birth, physical address, employment information, academic qualifications etc. We collect this information to verify and process your application. Once membership is awarded, your information is stored on our members database. This enables us to communicate effectively with our members.
- We conduct surveys from time to time
We send out surveys from time to time. You can choose to respond or not, and you can unsubscribe from receiving them.
- We collect information while you use our website
When you browse the CEASA website standard information about your internet connection and website usage are collected via cookies. We use this information so that we can improve and optimise your website experience. You may disable the use of cookies by configuring your browser to refuse all cookies or to indicate when a cookie is being sent.
The type of information we collect includes the URL you came from, IP address, domain type, browser type, the country and telephone code where your device is located, the web pages viewed during your visit etc.
If a paid-up member chooses to register for members access on the CEASA website, their information is retained during the registration process and the duration of their membership to update the members database.
- We collect information when you contact our Administration Office
When you contact our Administration Office, we collect information that helps us to categorise your query, respond to it. This may include, but is not limited to, your full name, contact details, membership number, etc. depending on the nature of your query.
- We do not collect the information of persons under 18
We do not collect the information of persons under 18 without the consent of their parents or guardians.
- We use your personal information to provide our services to you
The services we offer our members includes the following:
- New member’s applications
- Sending out annual Membership Invoices
- Answering email enquiries
- Sharing updates from the Clinical Engineering Industry
- Sharing Administrative updates
- Sending member’s invoices
- Sending out member meetings/webinar invites
- Answering telephonic enquiries
- Web Ads
- Conducting Surveys
How long do we retain your data?
We retain the personal data of our members for the duration of their CEASA membership.
The personal data of dormant members is retained for 5 years and then discarded and removed from our database.
Members who terminate their membership and would like their data removed from our database can request so via email. These requests will be fulfilled within 14 days of receipt.
Web security
We endeavour to take reasonable security measures to protect the personal information that our members provide. Members data is protected by SSL encryption when it is exchanged between your web browser and our website, and our databases are also protected and stored in compliance with the POPIA Act. While we have taken steps to minimise the threat to your privacy, it is well known fact that technology is not absolutely secure and data can be hacked. Agreeing to this Privacy Policy indicates that you understand the vulnerabilities of technology and will not be able to take action against us if you suffer loss or damage resulting in a breach of any of our technical, physical or administrative safeguards.
Our email servers are encrypted ensuring that there is no interception or hacking of your email.
If privacy is compromised, we’ll inform you
In the unlikely event of any breach which affects your personal information, we will contact you and inform you thereof.
Third-party Sites
To the extent allowed by law, we are not held responsible for the privacy practices of any third party sites to which there may be a link on our website. CEASA cannot be held responsible any claims, damage or loss arising from these.
We advise you to read the privacy policy of each site which you visit and to set your privacy settings in accordance with your personal preferences.
